Expensify alternatives, honestly compared

Updated 2026-10-21 · DocExtract

Expensify is built for expense reports and approvals. If your problem is simply 'get the receipts into a spreadsheet', you are paying for a workflow you are not using.

What you are paying for

Approval chains, policy enforcement, corporate cards, reimbursement. All valuable if you have employees spending company money. All irrelevant if you are the only person spending it.

The small-business mismatch

A sole trader photographing receipts needs extraction and a CSV. A five-person team needs approval and a report. Those are different products, and only one of them justifies a per-user monthly fee.

Data location

Expense platforms store receipts and card data in the cloud. That is fine for many businesses and a problem for regulated ones — worth deciding deliberately rather than by default.

A cheaper shape of the same job

Extract locally, export a spreadsheet, keep the images. You lose approvals and card integration; you keep the data and pay once instead of monthly.

Common questions

Is Expensify required for reimbursement?

No. A spreadsheet and a bank transfer work perfectly well for small teams.

Do these tools store my card data?

Some integrate directly with corporate cards. Read the privacy terms before connecting anything.

When does an expense platform pay off?

When you have several people spending and need approvals or policy enforcement. Below that, it is overhead.
